The Horse Trials Support Group (‘HTSG’, ‘we’ or ‘us’) is a membership organisation that provides support to the British three-day-event teams. This Privacy Notice sets out how HTSG uses and protects any personal information that you supply through membership application, email or telephone. The General Data Protection Regulation (GDPR) outlines your rights regarding data protection. The Horse Trials Support Group, Saffery Champness, St. Johns Court, Easton Street, High Wycombe HP11 1JX is the Data Controller for the purpose of GDPR.
We are committed to ensuring that members’ privacy is protected. Any information that you provide, by which you could be identified, will only be used in accordance with this notice. We may change our policy from time to time by updating this page.

The lawful basis on which HTSG processes your data is for the performance of a contract – ie. we process members’ personal data so that we can fulfil our obligations to provide members with the benefits of membership.

What we do with the information we gather
We will process your information in the ways listed below to provide the benefits of membership to which you are entitled or to provide you with information associated with horse trials. Some data processing will be done internally, but we also need to share your information with a small number of external organisations, as indicated.
How we contact you
We may periodically send you newsletters and information about the HTSG marquee at Badminton Horse Trials, social events, course walks, yard visits and other activities associated with horse trials, as organised by HTSG for its members and their guests. This may also include details of tours to major horse trials organised by a travel agent. Such tours are not exclusively for HTSG members, but we believe they will be of interest to HTSG members. This information will be sent out by HTSG and we will not pass your details to the travel agent concerned.
We will respect your wishes regarding how we contact you. You have the right to object to receiving this information, or to withdraw your consent to receiving it by a particular means (mail, email, text message, telephone). If you wish to object, withdraw consent or change your mind in any way about the information we send you please contact the Membership Secretary (see https://www.htsg.co.uk/contacts.html).

We are committed to ensuring that your information is secure and have suitable physical, electronic and administrative procedures in place to safeguard the information we collect.
Controlling your personal information
We will not sell your personal information to anyone. We will only share your information with third parties where we are required by law to do so, or with those specific organisations identified above where this is necessary to facilitate the provision of the benefits of HTSG membership.
Please help us to keep our records updated by informing us of any changes to your contact details as soon as possible. If you believe any of the information we hold on you is incorrect or incomplete, please contact the Membership Secretary (see https://www.htsg.co.uk/contacts.html) who will correct any errors as quickly as possible.
We will retain all the personal information we have on you for as long as you continue to be a member of HTSG. If you inform us that you no longer wish to be a member we will delete the contact information as soon as possible after receiving your notification. If you do not pay your membership subscription one year, we will retain all your details until the end of that horse trials season; your contact information will then be deleted when the records are updated at the end of the season. Thus, if you cease to pay your subscription, your contact information will be deleted within one year of your membership ending. For a period of 10 years from when your membership ends, for historical and statistical purposes, we will retain only your name, along with the dates you joined and left. However, you have the right to have your personal data erased from our records once it is no longer necessary for the original purpose it was collected – ie. the management of your HTSG membership. Please contact the Membership Secretary (see https://www.htsg.co.uk/contacts.html) if you would like us to erase all your personal data from our records.

- Internal record keeping, including the payment of subscriptions and basic statistical analysis of membership numbers and trends over recent years.
- Sending you details of action you need to take to claim the benefits of membership – ie. requesting passes from Badminton Horse Trials or Burghley Horse Trials box offices.
- Sending you information that is relevant to horse trials and your membership of HTSG, and in accordance with your preferences and the consent you have given us.
- We will share your information with the following organisations for the purposes specified:
- Badminton Horse Trials and Burghley Horse Trials offices and their box offices, so that you can request and receive the complimentary passes to which HTSG members are entitled.
- British Eventing, so that you can receive the bi-monthly Eventing Life magazine to which HTSG members are entitled.
- Occasionally this may include the organisers of other events, which may be overseas, which are offering specific facilities, whether complimentary or for a fee, to HTSG members at their event.
- Printers – sometimes we need to pass names and addresses to external printers for mailing.
